Consumer Listings, Operator Dashboard, and CRM — Unified Under One Owned Platform

A fully owned property platform connecting consumer-facing listings with a comprehensive property management dashboard and CRM — eliminating third-party portal dependency and giving operators complete control over their inventory, tenants, and pipeline.

Project overview

The Challenge

Property management at enterprise scale — portfolio landlords, residential estate agencies, commercial property managers, and corporate real estate teams — involves operational complexity that generic property portals and disconnected management tools simply cannot address. Listing portals generate leads but provide no management capability. Property management software handles operations but has no consumer-facing presence. CRM tools manage contacts but carry no property or tenancy context. The result is a fractured operational picture with data split across multiple systems and significant manual overhead keeping them aligned. The client needed a single platform that covered the entire property lifecycle — from public listing to tenancy management to financial settlement — without the commercial dependency of third-party portal fees.

What We Built

Zest Synergies delivered a complete property platform across three integrated layers. The consumer portal provides a full property search and discovery experience with geo-aware filtering, saved searches, virtual tour integration, and direct enquiry capture feeding the CRM. The operator dashboard gives landlords, agents, and property managers a complete management environment: property inventory, tenancy records, maintenance workflows, inspection scheduling, compliance documentation, and financial reporting. The integrated CRM provides a unified view of every lead, viewing, offer, and client relationship — across sales, lettings, and management operations simultaneously.

Scale and Portfolio Complexity

The platform was designed to support property portfolios ranging from dozens to thousands of units, with multi-tenancy architecture allowing property management firms to manage client portfolios under their own branded portal environment while maintaining consolidated reporting at group level.

FAQ

Yes. The property type configuration supports residential, commercial, and mixed-use portfolios with category-specific fields, compliance requirements, and financial management rules applied per property type.

Compliance tracking is built into the property record layer. Each property carries a compliance profile with configurable certificate types, validity periods, and automated renewal alerts. Expired or lapsing certificates trigger workflow notifications to the responsible manager and, where configured, to the property owner. The system provides a compliance status dashboard across the full portfolio.

Yes. The multi-tenancy architecture supports property management firms managing client portfolios with clear data separation between client accounts, consolidated group-level reporting, and client-facing portal access where required.

The CRM includes an inbound lead API that can receive enquiries from external listing portals where integration is available, centralising all lead sources into a single pipeline view regardless of originating channel.
